Manage Orders Screen

 Purpose

The manage orders screen is used to display a list of current and historical orders, and provide access to create, view, modify, and fill orders.

 Information Provided

This section describes viewing the display of orders that have been placed by you or orders that have been placed by another organization. Listed below you will find all of the information necessary to view what is displayed on the screen.

 Field Name

Description

User

This field displays the user's name that created the order.

Submit Date

This field displays the date that the order was submitted in the system.

Status

This field displays the status of the order. Depending on where the order is in process you will see the following status:

  • Pending - This indicates that the order has not been viewed or filled by the filling organization. This type of order can still be modified.

  • In Progress - This indicates that the order has been received and reviewed by the filling organization. This type of order can no longer be modified.

  • Shipped - This indicates that the order has been completely filled and shipped. This type of order can no longer be modified.

  • Cancelled - This indicates that the order was cancelled by the Ordering Organization. This type of order can no longer be modified, and is considered a historical order.

  • Denied - This indicates that the order was denied by the Order Filling Organization. This type of order can no longer be modified, and is considered a historical order.

  • Partial Ship - This indicates that part of the order was filled and shipped with some of the order still waiting to be filled. This type of order can no longer be modified.

Field Name

Description

Select

This field is used to select orders which you would like to view. When viewing an order that has not been filled at all you will be able to fill the order.

Organization

This field displays the organization who submitted the order.

User

This field displays the user's name that created the order.

Submit Date

This field displays the date that the order was submitted in the system.

Status

This field displays the status of the order. Depending on where the order is in process you will see the following status:

  • Pending - This indicates that the order has not been viewed or filled by your organization. This type of order can still be modified.

  • In Progress - This indicates that the order has been received and reviewed by your organization. This type of order can no longer be modified.

  • Shipped - This indicates that the order has been completely filled and shipped. This type of order can no longer be modified.

  • Denied - This indicates that the order was denied by the Order Filling Organization. This type of order can no longer be modified, and is considered a historical order.

  • Partial Ship - This indicates that part of the order was filled and shipped with some of the order still waiting to be filled. This type of order can no longer be modified.

Note: All historical orders ('Shipped' and 'Denied') will not have a link to click on in the status column. To view the order details for historical orders, select the order in the select column, then click on the View Order button. The View Order screen will be displayed.

This section explains how you can display different types of orders, whether historical, new, current orders, etc. Read below to learn how to switch between the different views.

Option

Description

Current

This is the default view that will display each time you view the manage orders screen. Select the 'Current' option to view only those orders that have not been filled or have not been accepted or rejected by you. These would be orders displaying either 'Pending' or 'In Progress', and could also include 'Shipped' or 'Partial Ship'.

Historical

Select the 'Historical' option to view only those orders that have been 'Shipped' (and accepted or rejected), 'Cancelled', or 'Denied'. Note: By default all historical order in the last 30 days will be displayed.

  1. When using this option you are allowed to enter a date range for the historical orders you would like to view.

  2. Enter your dates in the 'Show Historical Orders by Date From:' and 'To:' boxes and click on the Refresh List button to refresh the list with the date range you entered.

Both

Select the 'Both' option to view both current and historical orders.

  • When this option is selected "Current Orders" will display at the top and "Historical Orders" will display below.

  • For 'Historical' orders you will have the option of entering a date range for the historical orders you would like to view.

Option

Description

New

Selecting this option will display new orders that have just arrived. These would be orders that you have not yet viewed, displaying 'Pending'.

Ongoing

Selecting this option will display only orders that are ongoing. These would be orders you have either viewed or partially filled, displaying 'In Progress', 'Shipped', or 'Partial Ship'.

All Current

This is the default view that will display each time you view the manage orders screen. Selecting this option will display all the orders that are current whether new or ongoing. All new orders will be separated in a section labeled "New Orders", and all ongoing order will be separated in a section labeled "Ongoing Orders".

Backorder

Choose the Backorder radio button when you want to see orders which have items that the your organization needed to back order. This would include orders in 'Backordered' or 'Partial Ship' status.

Historical

Select the 'Historical' option to view only those orders that have been shipped, partially shipped, or denied.

  • When using this option you are allowed to enter a date range for the historical orders you would like to view.

  • Enter your dates in the 'Show Historical Orders by Date From:' and 'To:' boxes and click on the Refresh List button to refresh the list with the date range you entered.

Read below for an explanation on how to create a new inventory order. Note: Creating orders is a function available only to specific organizations.

  1. In the upper right hand side of the screen find the Create Order button (if available).

  2. Click on the Create Order button to be taken to the Create Order screen where you can create a new order.

As long as an order is displayed as 'Pending' it can be modified. Once an order is 'In Progress' it cannot be modified. Clicking on an order that displays 'In Progress' will only show the order details and will also allow you to fill the order if you are an Order Filling Organization. Read the following instructions to modify or view an order. Note: As soon as you click on the status of a 'Pending' order, it is considered 'In Progress' and cannot be modified any longer.

Filling an inventory order is only available to a designated Order Filling Organization. The following provides a description of how to fill an order.

  1. Click on the status of a desired order to fill it.

  2. Alternatively you can select an order by clicking the circle in the select column, then click the View Order button. Note: For new 'Pending' orders the Modify Order screen will appear, and for all ongoing 'In Progress' orders the View Order screen will be displayed. Either way a Fill Order button will be available.

 Functionality

The functionality on the manage orders screen involves either creating a new order, modifying or viewing an existing order, and selecting an order to fill.

Button

This button will only display for an Ordering Organization. When you click on the Create Order button, you will be taken to the Create Order screen. Here you can input the information to create your order.

This button will only display for an Order Filling Organization. After selecting an order, when you click on the View Order button, the system will take you to the View Order screen if the order is 'In Progress', 'Shipped', 'Cancelled', 'Denied', or 'Partial Ship'. Otherwise if the order is still 'Pending' the Modify Order screen will display.

When you click on the Cancel button you will be taken to the main screen. Any changes made are not saved.

Status Link

When you click on a status link for a particular order you will be taken to one of two screens depending on the status of the order and whether you are an Ordering Organization or an Order Filling Organization.

  • For Ordering Organization

  1. If the order status is 'Pending' you will be taken to the Modify Order screen.

  2. If the order status is 'In Progress', 'Shipped', 'Cancelled', 'Denied', or 'Partial Ship' the View Order screen will display.

  • For Order Filling Organization

  1. If the order status is 'Pending', 'In Progress', or 'Partial Ship', you will be taken to the Fill Order screen.

  2. If the order status is 'Shipped', 'Cancelled', or 'Denied', the View Order screen will display.
