Request VFC Reports Screen

 Purpose

The request vfc reports screen exists so that an administrator can generate and print a report containing information on immunizations given within specific funding categories.

 Functionality

The VFC Report will produce data only for an organization that has entered non-historical immunization data into the registry. In the event an organization is selected that has no transaction data, a message informing the user will be displayed on the report.

  1. To produce a VFC Report report you must select an organization and enter a date range. By default your organization will be selected, and there are no other options.

  2. Enter the Report Date Range by typing start/end dates into the From and To text boxes in the format MM/DD/CCYY. Or, click on the calendar icon to select the date.

  3. Choose a type of VFC Report to run.  You have three choices:

• The Age Group – Complete Age Categories report displays a summary of doses by VFC eligibility by detailed age ranges by years: < 1, 1, 2, 3-5, 6, 7-10, 11-12, 13-18, 19-24, 25-44, 45-64, 65+.

• The Age Group – Condensed Age Categories report displays a summary of doses by VFC eligibility by four specific age ranges: < 1 year of age, 1-6 years of age, 7-18 years of age, and older than 19 years.

• The Vaccine Group report displays a summary of doses by VFC eligibility and vaccine groups.  

  1. Select a File Type to display the report results.  The Age Group reports will only display in PDF format while the Vaccine Group report can display in either PDF or Excel

  2. Click on the Generate Report button.

  3. The system will process the report and then display the report in the selected format. *Note*

 VFC Age Group Report Output

The VFC Age Group Report outputs display non-historical vaccinations. The dose must be owned by one of the sites of the organization selected on the report. Each shot must have an administered date within the date range specified by the user.

Rows

The rows on the report give a breakdown of the clients by age in years. Note that a client who received a shot at 6 years and 9 months of age will count in the 1-6 age group row. The following table describes the rows on the Complete Age report:

This row includes exactly those doses given to clients who were between 3 and 5 years of age at the time of dose administration.

This row includes exactly those doses given to clients who were at least 6 year of age and under 7 years of age at the time of dose administration.

7-10

This row includes exactly those doses given to clients who were between 7 and 10 years of age at the time of dose administration.

11-12

This row includes exactly those doses given to clients who were between 11 and 12 years of age at the time of dose administration.

13-18

This row includes exactly those doses given to clients who were between 13 and 18 years of age at the time of dose administration.

19-24

This row includes exactly those doses given to clients who were between 19 and 24 years of age at the time of dose administration.

25-44

This row includes exactly those doses given to clients who were between 25 and 44 years of age at the time of dose administration.

45-64

This row includes exactly those doses given to clients who were between 45 and 64 years of age at the time of dose administration.

65+

This row includes exactly those doses given to clients who were 65 years of age or older at the time of dose administration.

Annualized

The system computes the annualized numbers by taking the actual immunization and client counts in each age grouping and applying a multiplier to estimate a yearly amount. For example, if you run the report for 01/01/2006 to 01/31/2006, the annualized numbers will be roughly 12 times the actual counts. In this example, the multiplier isn't exactly 12 because not all months are of equal length.

 

The Condensed Age Report follows the same logic as the Complete Age Category report but applies immunizations to a condensed list of age categories as noted in Number 3, bullet two above.

 

Columns

The columns on the report give a breakdown of the immunizations and clients by eligibility. The following table describes the columns on the report:

Medicaid Enrolled

The immunization is associated to a client who has Medicaid Enrolled selected in his/her client record.

Medicaid HMO

The immunization is associated to a client who has Medicaid HMO selected in his/her client record.

Native American/Alaskan Native

The immunization is associated to a client who has Native American/Alaskan Native selected in his/her client record.

No Insurance

The immunization is associated to a client who has No Insurance selected in his/her client record.

Under-insured at a FQHC/RHC Facility

The immunization is associated to a client who has Under-insured at a FQHC/RHC Facility selected in his/her client record.

Under-ins at pvt Facility/PublicHosp/HealthDept

The immunization is associated to a client who has Under-ins at pvt Facility/PublicHosp/HealthDept selected in his/her client record.

Eligibility Not Det/Unknown

 

The immunization is associated to a client who does not have any eligibilities at all or has Eligibility Not Det/Unknown selected in his/her client record.

FAMIS

The immunization is associated to a client who has FAMIS selected in his/her client record.

Insured Vaccine Covered

The immunization is associated to a client who has Insured Vaccine Covered selected in his/her client record.

Totals

There are totals by eligibility, by age group, and grand totals. Here are some details on the totaling done in the report:

Total Field

Description

Total of Imms and Clients by Eligibility

This data is located in the last row of the report.  It represents the total count of immunizations or distinct clients for this eligibility, regardless of the age when the dose was administered to the client. Combination and single-antigen vaccines are counted as a single immunization.  Note: These numbers are not annualized.  Also, the total of distinct clients may be less than the value of adding the numbers in this column because the same client may count in different age groups.

SUM of Imms and Clients by Age Group

This data is located in the last column of the report. These cells count the number of immunizations and clients given for the age category, regardless of eligibility.

Grand Total

This data is located in the last cell of the report.  These cells count the number of total distinct clients and immunizations given within the bounds of the age category, regardless of eligibility.

 

 VFC Vaccine Group Report Output

The VFC Vaccine Group Report displays a count of non-historical, owned immunizations by vaccine group for each VFC eligibility category for the specified date range.  Each column in the  "VFC Eligibility Immunization Counts" section contains a count of immunizations by vaccine group for the entire eligibility.  In addition, there are columns that total by vaccine group for each vaccine group for all VFC eligible doses, Non-VFC eligible doses, FAMIS doses, and Stock Type Overrides.  Lastly, there is a grand Total column for all doses, regardless of vaccine group, per eligibility for the selected date range.

Note:  Combination and single-antigen vaccines are counted as a single immunization.
