Edit User Screen |
Purpose |
Use the Edit User screen to change any of the information settings for a selected user or delete the selected user entirely.

Field Name |
Description |
Provider Org Name |
This is the name of the selected user's provider organization and is a non-editable field. |
Organization Code |
This is the selected user's organization code assigned by the registry and is a non-editable field. |
User First Name |
This is the selected user's first name. Update this field by highlighting the current first name within the 'User First Name' text box and type the new one over it. |
User Last Name |
This is the selected user's last name. Update this field by highlighting the current last name within the 'User Last Name' text box and type the new one over it. |
User Middle Initial |
This is the selected user's middle initial. Update this field by highlighting the current middle initial within the 'User Middle Initial' text box type the new one over it. |
User name |
This is a name assigned to the selected user by the Administrator which uniquely identifies a user when accessing the registry on the Login screen. Update this field by highlighting the user name within the 'User name' text box and type the new one over it. The user name must be at least four characters long. |
Password |
Assigned to a user by the Administrator, which verifies user access. Update this field by typing the password within the 'Password' text box and type the new one over it. The password must follow specific criteria. Password Complexity Passwords must be between 8 and 20 characters in length and must contain 3 of 4 criteria.
Password Recycling The previous 24 passwords may not be used. If you enter one of the previous 24 passwords this message appears: “Validation Error: Password you are attempting to save has been used previously. Please re-enter a new password.” Password Validation If you do not enter VIIS every 60 days your account will move to ‘disabled’ status. Every 90 days your password will expire and it must be updated. You have 10 opportunities to enter the correct password, user name, or organization code combination. After the tenth incorrect attempt you will be locked out of VIIS for 15 minutes. This message will appear: “You have entered the incorrect Organization Code or password. Please wait 15 minutes before reattempting. If you have forgotten your log-in information or cannot access your account for any reason, contact your VIIS administrator. If you are the administrator, please contact the help desk at 1-866-375-9795 or viis_helpdesk@vdh.virginia.gov.”

Role |
This determines a user's access level. A user's role can be changed by selecting the desired role from the 'Role' pick list. For a full description, please see User Roles. |
Status |
This determines whether or not a user will be allowed to access the registry. A user with an Active status will be allowed access to the registry, at any time, with the corresponding login information. A user with an Inactive status will not be allowed access at any time, even with proper login information. |
Demographic Information |
These fields are used to provide detailed information about the users currently in the system under your organization. |

When the Save button is clicked, all changes made to the information fields above will be saved, and the following message will be displayed: " **User updated** " *Note* |

When the Delete button is clicked, all information pertaining to the existence of this user will be permanently removed. If the deleted user is logged on, he/she is immediately logged off the registry and cannot re-access it. If the administrator wants to re-add the deleted user, the administrator must contact the Help Desk. |

When the Cancel button is clicked, any changes made to the information fields are lost, and the user will return to the manage users screen. |
Notes |
Functionality Note
If either the Username or Password information fields have been changed and saved, this will affect the login information necessary for the selected user to access the registry. In the event this occurs, the user must use the updated User name and Password, keeping the same Organization Code, on the Login screen when accessing the registry.
