Modify Quantity on Hand Screen

 Purpose

The Modify Quantity on Hand screen is used to modify the quantities of multiple inventory items at the same time.

 Update Quantities for Multiple Inventory Items

To update the quantity on hand for multiple inventory items, follow these steps:

  1. Click on the 'manage inventory' hyperlink from the Menu Panel on the left side of the Main screen.

  2. Click the Show Inventory button on the manage inventory screen. The Show Inventory screen displays.

  3. Check the checkboxes next to the inventory items whose quantity you want to modify.

  4. Click the Modify Quantity button.

  5. Enter the Action, which indicates whether you want to add or subtract quantities.

  6. Enter the amount and unit for the amount you want to add or subtract.

  7. Enter the reason for modifying the quantity. The following table lists the reason types:

    Description

    Receipt of Inventory

    Select this option for new inventory you are entering into an existing item with the same matching attributes.

    Error Correction

    Select this option if you have made any errors in entry. For example you entered 100 instead of 10 for the quantity.

    Items Returned

    Select this option if items are being returned to you from another organization or an external site.

    Items Transferred

    Select this option if you are transferring items out of your inventory to return to the state or to transfer to an external site.

    Items Wasted/Damaged

    Select this option for items which were damaged and had to count as wasted. For example, the store room was flooded and the item is no longer usable.

    Items Used

    Select this option for items which are used in the normal course of responding to an event, but which are not associated to any specific client. For example, Items Used is an appropriate reason when several boxes of bandages are used, but there was no tracking of each bandage handed out on an individual basis.

    Items Returned to CDC

    Select this option for items which are subtracted from inventory and are sent back to the CDC.

  9. Click the Save button.

 Information Provided

The following table shows the input fields on the screen:

Field Name

Description

Unit

The unit that the quantity on hand currently displays in. By default, this shows in the unit of measure. The user may toggle this to a different unit, and the QOH will refresh and display in those units.

Action

The user may either choose to Add or Subtract an amount from the quantity on hand.

Amount

Enter the amount you want to add or subtract from the quantity on hand.

Unit

Enter the unit for the amount you are adding or subtracting.

Reason

Enter the reason for modifying the quantity on hand. This corresponds to one of the valid transaction types. Not all transaction types are available as a choice. See the table of reason types in the Updating Quantities section.

 Functionality

The following table describes the buttons available on the Modify Quantity on Hand screen.

Button

Description

When you click on the Save button, the system checks that the data you have entered is valid. If so, the system adds or subtracts the amount you have indicated for each inventory item.

btncancel.gif

The Cancel button will discard any values you have entered on the screen and return you to the Show Inventory screen.
