Manage Inventory Screen

 Purpose

The Manage Inventory screen displays inventory alerts. The three types of alerts are Inventory Order/Transfer Notification, Expired Inventory Alerts, and Low Inventory Alerts. The buttons on this screen allow the user to access other features related to inventory.

 Viewing Inventory Alerts

Follow these steps to view inventory alerts:

  1. Click on the 'manage inventory' hyperlink from the Menu Panel on the left side of the Main screen. The Manage Inventory screen displays.

  2. The system displays the Manage Inventory screen. Inventory Order/Transfer Notification, Expired Inventory, and Low Inventory Alerts display in their own section. See the tables in Information Provided for more information about the fields in each type of alert.

 Information Provided

This screen acts as a gateway to adding, editing, and viewing inventory for selected sites. Inventory alerts display on the screen.

The table below describes the fields in the Inventory Order/Transfer Notification alert.

Output Field

Description

Type

Either Order or Transfer type.

Shipped

The number of inbound transfers which have a status of shipped for which your organization is the receiving organization.

Awaiting Return Shipment

The number of inbound transfers which were rejected but not yet shipped back to the sending organization. You are assumed to be the receiving organization.

Rejected

You are assumed to be the sending organization. For non-order transfers, this is the number of transfers which were rejected by the receiving org and have either a Receive or Return date. For order-based transfers, this is the number of transfers which were rejected by the receiving org which have a Return date.

The table below describes the fields in the Expired Inventory Alert.

Output Field

Description

Site Name

The site which holds the inventory item that is triggering the expired alert.

Product Description

The descriptive name of the inventory item which expires on or before today’s date plus the Expired Alert days setting.

Lot Number

The Lot number of the inventory item. It is the a more granular identifier than the item number. Many lot numbers may be associated to a single NDC/Mfr Item number.

QOH

The quantity on hand for the inventory item.

Units

The units for the quantity on hand.

Exp Date

The expiration date for the inventory item.

The table below describes the fields in the Low Inventory Alert.

Output Fields

Description

Product Description

The descriptive name of the inventory which is running low.

Quantity on Hand

The quantity on hand, aggregated for all sites within the organization the user is logged into. This is the number which is less than or equal to the number specified in the Low Alert setting.

Units

The unit that the quantity on hand amount is measured in. The system will use the unit of measure for this product based on the NDC/Mfr Item number.

 Functionality

The buttons on this screen are described in the table below.

Button

Description

When you click on the Show Inventory button you will be taken to the Show Inventory screen where you will now see a listing of your inventory for the selected site.

When you click on the Show Transactions button you will be taken to the Show Transactions screen where you can specify criteria to view past inventory transactions.

When you click on the Update Alert Prefs button you will be taken to the Update Alert Preferences screen where you can enter in information for your new lot.

When you click on the Cancel button any changes you have made will not be saved and you will be returned to the previous screen you were on.
